for participants and speakers.

I am a registered participant, how can I have access to the virtual symposium?

You should have received an email with the link to Worksup and the ID event one week prior to the event (check your spam folder if you didn’t). Click on that link and enter your email (the same that you used to register); for your first access, you will receive a 6-digit PIN code in your email. You can open Worksup on mobile, web or tablet and use full-service functionality in either of them; no downloads needed. Your profile has already been created in Worksup with the data you provided in your registration form via the EFRJ website. Note: every time you open the Worksup link with a new device or new browser (even with incognito) you will be asked again to check-in with the 6-digit PIN code.

I am a registered participant and I still have no access to Worksup: what can I do?

First of all, identify the problem: did you receive the email with the Worksup link sent to all participants one week prior to the event? If not, are you sure you are checking the email you gave during registrations in the EFRJ website, and did you check your spam folder? If you clicked on the Worksup link to the event and it did not recognise your email, are you sure you gave the correct email as during registrations? If you did not receive the 6-digit PIN code, did you check your spam folder? Once you clarified the issue, and if the issue is still there, please contact our staff member Julia Barjau.

How to navigate in Worksup?

In Worksup, you can check the programme of the symposium (see “agenda”), view the attendees’ list (see “participants”), chat with participants and organisers (see “conversations”), and edit your profile also by uploading your picture and say what you offer and search for during the symposium (see “profile”). Please take some time to get familiar with the platform and its networking features. In each session of the programme, you can check the details, ask specific questions, engage in tasks (such as polls) and view the media available, if any. 

 

Why is it important to update your profile on Worksup?

We created your profile with the basic information you provided during your registration at the symposium (i.e. name, job title, organisation, country). On the bottom and right side of the page, you can edit your profile. It is important to upload your photo and add your interests in the field (namely, 5 topics you can offer and 5 topics you seek during the event) so that you can be recognised by others and find your matches in the participants’ list. You can easily start exchanging with other attendees, if you wish so, by chat (note that your first message must be accepted by the other attendee first, so be short in your first contact!). Note that even if your name will not appear in your list of participants, it will appear to others! For you, your profile is accessible for editing only.

 

How can I save the sessions in my calendar?

In Worksup, you can click on the heart next to your favorite sessions to keep track of this list (via the heart in the top right corner). You can also export the sessions in your calendar. The export is totally dependent on yout device's settings. Some of the devices are just downloading the .ics file and you need to manually upload it to preferred calendar app (e.g. Google Calendar); some of them are directing the .ics file already to the calendar app that is selected as your "by default" one.

How can I attend a live session?

During the week of the symposium, live sessions will take place on Zoom Meetings; a new window will open in your browser. You can find the Zoom link under the “details'' describing the session on Worksup. We chose not to embed the live sessions in Worksup as we wish you to engage and interact with the speakers switching on your camera and microphone when needed. Also, Zoom Meetings allow dividing the audience in breakout rooms and, normally, most people are familiar with it by now. What happens if I cannot participate in a live session?

Videorecordings and other materials on Worksup will be available on Worksup up to 3 months after the event. The EFRJ team will make sure that at the end of the day the videorecordings of the sessions are embedded in Worksup.

I am a speaker, how can I prepare for my live session?

Speakers are invited to join the Zoom Meeting 10 minutes before the start of the session, together with the two EFRJ team members present in the meeting. See the question above for details about the link to Zoom Meetings. You (and your co-authors) received an email in the beginning of June with some practicalities. For last minute questions, contact the EFRJ team members appointed to your session: the staff member will take care of technicalities; the board member will be the moderator. How can I ask specific questions about a session?

In Worksup, you will find the Q&A functionality available per all sessions. This will enable you to ask questions related to the contents of the session. You can also upvote other questions; these are instantly visible by all attendees on top of the list of questions. The Q&A on Worksup will be mostly used when we are not having live sessions (e.g. when you view the programme, or you watch the videorecordings). Indeed during the live sessions we will use the chat function of Zoom Meetings for the Q&A.

What are the tasks in Worksup?

The tasks assigned under some of the agenda’s sessions include: 1) polls, 2) text tasks, and 3) image tasks. Text tasks enable participants to give text-based answers to our questions; sometimes these are pre-written answers in bullet points. These serve to get insights from you and other participants. Image tasks serve to capture emotions; for example, you may be asked to take a photo and demonstrate creativity, also anonymously.

How can I show my appreciation for a session?

In the programme, under the description of the different sessions, you will find 5 stars that you can use to immediately rate the contents/ speakers during the event. This star-rating system will be visible to other attendees. Instead, if you wish to pre-select your favorite sessions you can click on the hearts next to the specific session and then check the chosen list via the heart on the top right corner. This heart-rating system is personal and private.

Who will respond to me when I chat with the organisers in Worksup?

Behind the scenes of Worksup, you will find Emanuela Biffi, Bálint Juhász or Julia Barjau. The chat is private and only visible in the admin menu by these EFRJ staff members. It will be checked regularly during the symposium week, but in case you have urgent matters you can contact via Whatsapp Julia Barjau (+33 616071775) or Emanuela Biffi (+32 466209112).
