FAQ - Tallinn presenters

This page is to answer the FAQs of the workshop and poster presenters of the 12th EFRJ Conference in Tallinn (29-31 May 2024)

This webpage answers your FAQs (frequently asked questions) we received from some of you in the past weeks.

ABOUT YOUR WORKSHOP

  • How long is a workshop? Workshop sessions are scheduled for 90 minutes, but you are asked to keep your presentations/ dialogues/ training within max 80 minutes: in this way, you give the time to your participants to have time to move from one session to the next one. You may start 5 minutes after your assigned time and end 5 minutes earlier, if possible.
  • How long is my presentation/ dialogue/ panel/ skills workshop? The answer is in the emails we exchanged when your abstract was approved, but you find it also in the booklet! Each workshop includes 1, 2 or even 3 different contributions, depending on the format.
  • Can I present in a language other than English? Sorry, but the main language of the conference is English and we do not have simultaneous translators on site. 
  • How many people will attend my workshop? Participants will decide on the spot which workshops they wish to attend. You can expect an audience of 35-50 people. In some cases, skills workshops are meant for a limited number of participants: in this case, on a first come – first served basis, trainers will invite participants to choose another workshop.
  • Can I still change the time/ day of my presentation/ dialogue/ panel/ skills workshop? No, this is not possible anymore because changing one workshop in the schedule creates a domino effect and all rooms are fully booked. Sorry!

ABOUT YOUR PRESENTATION SLIDES

  • Can I show some slides? All workshop rooms are equipped with laptops and projectors/ TV screens: if you plan to use them, please bring your own USB stick with your presentation. Our volunteers will collect them on that day to be disseminated as part of all materials after the conference. If needed, all laptops will be connected to the Internet and WiFi is available in Tallinn University.
  • Is there a template for presentations? No, you can be creative and use your own (or your organisation's) style. Make sure you include your contact details, if you wish people to get in touch with you. Presentations will be shared a few weeks after the event with all registered participants.
  • Can I use the EFRJ logo in my slides? You can as far as it is clear that you presented in the context of the conference and that the EFRJ is not responsible for the contents of your presentation. You may use a sentence such as: "This presentation took place during one of the parallel workshop sessions of the 12th international EFRJ conference (Tallinn, 29-31 May 2024). The authors are responsible for the contents of this presentation: contact them, and not the EFRJ, if you wish to know more!".

ABOUT THE WORKSHOP ROOMS & VENUE

  • What do the workshop rooms look like? Workshop rooms are spread over 2 connected buildings (Astra and Silva); they can be reached by stairs and elevators (max 5 min walk distance from the auditorium). Rooms have different sizes and layouts, assigned to presenters depending on the format of their workshop. In most cases, chairs will be organised in a circle or U-shape with only few tables in the room (e.g. for skills workshops); few have a theatre setting with fixed tables (e.g. for panels). Our volunteers will help if you need a different set up, or more/less chairs/tables.
  • Can someone help me during my workshop? In all workshop rooms, you will meet one or two members of the conference organising team (one volunteer from Tallinn and/or one Board/staff member from the EFRJ). Normally, our participants are also really friendly, thus if you need extra help just ask!
  • What useful materials can I find in the workshop rooms? Each room has flipcharts and/or white boards. We will provide markers, colourful post-its, white A4 paper, and bluetack. If something is missing, ask the volunteers or at the info desk.
  • Where can I print some documents? It is not possible to print at the university and we cannot take care of your printouts. Still, you can send your files to a copy shop in Tallinn and collect it and pay once there (or simply take your printouts with you). There are quite some printing shops near the university (e.g. Xelo Ink xeloink99@gmail.com) and around the city. Sometimes you can also print at the hotel where you stay. The EFRJ relied on Stillabunt (info@stillabunt.eu) or Kruze (kruze@kruze.ee) for its printing, but these services are a bit far from the university.

ABOUT YOUR COMMUNICATIONS & MATERIALS

  • Can I disseminate my communication materials? We invite you to bring your flyers, publications and other materials to a dedicated desk at the university. These can be disseminated for free also during your workshops (not to sell); we are not responsible for any loss (in case you just wanted to display them and they disappear).
  • Can I have a few minutes during a plenary session to explain my project/ campaign/ etc.? No, you can disseminate your materials in one of the tables reserved for this purpose, talk about it during workshops and social moments, but we cannot make space during the plenaries as the programme is full. 

OTHER ACTIVITIES

  • How can I register to social events and field trips? The webform to register for the AGM, reception, social dinner and field trips, and to inform us about your special dietary or accessibility needs has been sent out at the end of April, the deadline to fill it in is the 5 May. At the registration desk, you will find the lists of participants attending all these activities: you can write your name there (or cancel, if you changed your mind), so that we know you are interested in joining (or not joining) and we can still see how to accommodate you (or others), if possible. 
  • What about the poster show? You can come to the registration desk with your materials at 8:15-8:30 on Wednesday morning 29 May. After registering yourself, someone from the staff will accompany you to the area where you can hang up your poster (you will find there some useful material like tape and sticky tack). Remember to collect your poster on Friday at the end of the conference, before leaving for the field trips. The abstracts of the posters are printed in the conference booklet.
